POLICY AND GUIDELINE
We are delighted that you are considering The Ruins At The Falls
for your function. The following guidelines will prove beneficial
in planning your event. Please note that our professional sales
& catering team is readily available to answer any queries.
Menus:
Wide selections of menu items are available for your perusal. Please
note, however, that should you require additional items our Executive
Chef will only be too happy to design a customized menu of your
choice.
Service charge:
All prices are quoted inclusive of tax; a 10% service charge is
additional.
G.C.T. (General Consumption Tax):
This is a government tax, which is included in all prices quoted.
Guarantees:
Final numbers for all functions must be guaranteed at least three
(3) working days prior to the function. This is the minimum amount
that will be catered and billed for.
Layout/Menu Selection:
Menu selections, meeting room set-up requirements and any other
arrangements must be received no later than five working days prior
to the function.
Deposit/Payment Policy:
A 50% deposit is required of all estimated charges to confirm all
catered functions. The balance is due at least seven (7) working
days prior to the event. Only companies with established credit
accounts will be allowed direct billing privileges for function
charges. A purchase order is required. Purchase orders must be submitted
at least five (5) days prior to the event. Payment can only be made
by credit card, cash or manager's cheque. If deposits/payments are
not received by the specified review dates, the booking may be subject
to cancellation. Re-instatement of space will be made only upon
receipt of payment and to the extent function space is available.
Corkage
A corkage fee of J$200.00 per bottle is applicable to guests who
wish to bring own wine and J$ 250.00 for own champagne.
Cancellation Policy:
Event cancelled 30 days in advance will get a full refund of deposits
paid. Events cancelled less than 30 days out will attract a 20%
cancellation fee based on total estimated charges. During the Christmas
season, December 10 - January 10, also the Easter period, i.e. (Good
Friday, Easter Saturday, Easter Sunday and Easter Day), cancellation
must be made at least 45 days prior to avoid penalties.
All cancellation notices must be received in writing for them to
be valid.
The Ruins At The Falls shall not be liable for failure to carry
out arrangements as requested which are caused by industrial disputes,
acts of god or any events beyond the control of the hotel.
Florists:
We can make floral arrangements on your behalf at an additional
cost. Please see details following. However, should you opt to use
your own florist, please note that all arrangements must be verified
in order to ensure they are within our operational policy guideline.
Audio-visual aids:
We provide a wide array of audio-visual aids. Please see costing
attached. If desired you may bring in equipment not provided by
The Ruins. However, we must receive a complete list of equipment
to be brought in no later than 48 hours prior to the function. This
will ensure that adequate power supplies etc. are available. All
equipment brought to The Ruins At The Falls must be collected within
24 hours of completion of any event. We will not be held liable
for any equipment left on the property by organizers.
Photographers, Videographers & Musicians:
Our catering staff would be delighted to assist you in making arrangements
for all the above services.
Linens/Cutlery and Crockery:
The hotel at no additional cost provides napkins, tablecloths, cutlery
etc. Standard white linen is provided.. A hireage charge is applicable
to attain colours outside this.
Banner/Signs:
All banners/signs etc. must be received at least 24 hours prior
to the function. Any mounting material to be used must be approved
by the hotel catering team. Two-sided tape is not to be used on
the walls. Only masking tape must be used and we will assist where
possible in providing the appropriate hooks to mount signs/banners.
Wedding Cake/Cake Cutting:
We do not provide wedding cakes but our catering staff can make
recommendations on qualified bakers. If you are providing your own
wedding cake, please note there is no cost for cutting and boxing
the cake for reception guests. Please note, however, you are required
to bring your own cake knife and boxes.
